Use eEvidence Registered Files to protect the Intellectual Property rights of your digital content. Whether this is about brochures, images, drawings or endless lines of code, it can be registered.

How does it work

One way to go for registering the authorship of any digital file would be to email it to yourself through us. However, working out a feature specifically intended for securing Intellectual Property rights made much more sense.

We only need you to forward your files to our systems, so there was no reason to make this complicated.

Once you've registered your email address with us, send the digital files and contents you want to get registered to Simple as that! This works for any file type and for as many files you want to register.

Up to 50 MB per email, you can attach multiple files to a single email. No matter how many, each file will be individually registered and identified by its name and unique hash. In case you include a subject line, we will record it so you can later use it to better locate your evidences.

Once we get your email, the registration of files will pretty much follow the same workflow we apply when registering emails send to others.

We register every piece of digital data you send to us

First, we retrieve the relevant information contained in the email header. Next, we use standard cryptography to calculate unique hashes from the original email, as the email dataset, as well as from each attached file.

The header information and each hash are tied together by a unique record ID and recorded for future use. This record is made available the second after your files reach us, allowing you to track its status in real time.

The evidence receipt is built and made available

The evidence receipt is issued in a blink of an eye: this is, a PDF file that essentially contains the names and unique hashes of all related files and a printed version of the message headers and body.

For better comprehension, we include a full copy of the original email as a standard EML file attached to the PDF receipt. Once we sign it electronically to secure its integrity, the evidence receipt is ready and made available.

The daily time-stamp decision

Right after we issue an evidence receipt, we obtain and record a hash from it. The next day, a PDF file, containing the file name and hash of all receipts from the day before, is built and electronically time-stamped.

This time-stamp does not inform about the exact moment at which each receipt was issued, that's true; however, we and our customers both consider it to be precise enough to prove since when a file did exist.

Tick Tock Tick Tock...

At first we wondered whether our customers would ask for each receipt to be individually time-stamped. If we were to electronically date receipts with a delay of only a few hours, would that really make a difference? We concluded it wouldn't, so we decided to group together all evidences from each single day on a single daily time-stamp.

The cost saving implications of that simple decision opens a whole new world of opportunities for email registration at massive scale.
